I. Goals for this meeting - Moreau

  • Get updates and status from working group leads.
  • Discuss timeline for completing open actions.

  • Plan for reunion-working group meeting opportunity in Feb.
  • II. Status of officially "founding" the alumni association - Roberts

    At the state level, all that is required is that the organization have an address, phone number, etc. and pay the fee.

    For 501c. status with the federal government, a governing document (constitution), "board of directors," etc. is required.

    Several sources exist for advice regarding the completion of the necessary paperwork. Eric gave the name of a web site (www.incorporate.com) containing relevant information.

    * Brian R. action item - Deadline for state incorporation set for February 15, 1997 and for federal 501c status set for April 1, 1997.

    III. Features of the new web site - Thorpe

    As part of the new web site created for the newsletter, there will be a "cover page" having links to documents and information related to the formation of the alumni association. Documents will be placed at this site such that all of the alumni can access them over the web and log their comments and suggestions right there.

    There will also be links to present (and future) volumes of the "Academy Newsletter."

    IV. Constitution Draft - Moreau

    Current draft of the Constitution will be posted on the web site within a few days. It is still a rough draft, missing many of the details that will be required before a final draft is complete, however it is time to get the alumni to review it and make suggestions.

    In the constitution, many of the specifics of how the alumni association will operate are set out. It is very important that the alumni take some time to review this draft and provide feedback because this is the way in which everyone will be able to shape and mold this organization....

    Some major areas that have not really been specified and which have created some debate within the working groups:

  • What is the proper administrative structure and organization?
  • How will voting, and the selection of officers be handled?
  • What will be the process of approval of the final draft?
  • Our intention is that this alumni organization should eventually include graduates from all of the NASA Academies, because the sister institutions that are forming are in much the same spirit as the original Academy. For this reason, there is no specific mention of GSFC in the Constitution.

    V. Plans for reunion/working meeting in Late January/Early February

  • Incorporation at state level to have been completed by then
  • Complete near-final draft of constitution, incorporating comments and changes from alumni. Decide on organizational structure and implement through Òratification of the constitutionÓ.
  • Plan 1st Academy Congress during the summer of '97.
  • Fifth anniversary banquet.
  • Official adoption of the constitution.
  • First election of officers.
  • Filing for 501c. status complete.
  • Plan presentation to Space Grant Directors Meeting in Washington D.C., March -- Announcement to the space grant directors of the creation of the NASA Academy Association
  • VI. New Items

    Information Database - compilation of all presently "floating around" lists of information into one place. Database currently on the SEDS server will eventually be moved to GSFC. SEDS database will continue to be in operation until this happens.
